The Club has created a simple online system to help you prepare for the upcoming rental enrollment.
Simply review the information below and complete the advanced preparation, and your renter will be ready to go. And if you have any questions, you may contact your local community team using the contact information available below.
Step 1: The Rental Registration Session
The purpose of the Rental Registration Session is to ensure you are set up and ready to start enjoying the amenities. During our time together, we will review your documentation, explain and answer questions about the community, introduce you to all of the amenities, and talk through any questions you might have.

Understanding Your Benefits & Responsibilities-
Part of renting is understanding what benefits you are provided as a Renter, and what commitments the Club and its Members and Renters make to one another. To that end, our team will take you through the basics.
Clarify How Fees Work-
When you signed your lease, your landlord was responsible for informing the Club (and, in the case of our private club communities, paying an assignment fee to allow you to access his/her membership privileges). By doing so, he/she has allowed you the ability to enjoy the amenities. From this point forward, you are responsible for paying all charges at the Club based on the events and activities you choose to participate in.
Share Our Communication Tools-
We want to make sure you never miss out on any of the action in the community, so we’ll take you through all of the ways we communicate with one another. This includes emails like the Daily Digest as well as ensuring your login and profile are set up properly in our proprietary web platform, MyTrilogyLife.com. From day one, you’ll be in the know on all that’s happening.
Discuss the Rules & Policies-
Each Club does have its specific rules, but for the most part, the Clubs operate following the Golden Rule – treat others as you’d like to be treated. That said, we do want to make sure you understand the attire policy, the guest policy, how gratuities work, etc., so we’ll spend some time together talking through the basics. The complete rules will always be available for your review via the “Resort Club” section of MyTrilogyLife.com.
Importantly, in all Trilogy communities, rental periods may be no less than 30 days if a Renter would like access to the Club facilities. Depending on the community-specific policies and the length of the rental, access may be via guest passes or a temporary card.
Establish Your Club Account-
Some Clubs provide some Renters the option of simply charging to a house account. Each month you get a statement from the Club, you have a few days to review it, and then we charge your account on file. It’s that easy. And it’s fully secure due to our encrypted, PCI-compliant Club management software. If this service is available in the community in which you’re renting, it will be discussed during the enrollment.
Issue Your Renter Cards-
In most communities, Renter cards are issued with photos which can be used for identification and access. As long as you send us a photo in advance (see below), we’ll have your cards ready and waiting for you during your session.

Depending on the length of your visit and the membership status of your landlord, you will be eligible to enjoy some if not all of the above amenities.

In accordance with A.R.S. 33-1806.01 of the Planned Community Act and Article 3, subsection 3.34 of Amended and Restated Declaration of Covenants, Conditions and Restrictions for Encanterra, please provide the following information to the Association within ten (10) days of execution of a lease. A fine of up to $15.00 may be imposed against the Owner in the case of late or incomplete information.
Trilogy Only: The Renter must show a government issued identification, bearing a photo, that confirms at least one Renter is fifty-five (55) years of age or older. Please attach copy of driver’s license, birth certificate, passport, immigration card, military identification or other similar evidence of age.
Any Owner that leases or rents such Owner’s Lot shall keep the Association informed at all times of the Owner’s address and telephone number. Any lease or rental agreement shall be subject to the Project Documents. If any Lessee breaches any restriction contained in the Project Documents, the Owner, upon demand by the Association, immediately shall take such actions as may be necessary to correct the breach, Including, if necessary, eviction of the Lessee. Notwithstanding the foregoing, the Association shall have all rights and remedies provided for under the Declaration, the other Project Documents and applicable law.
If Agent is signing on behalf of the Owner, the Owner’s written designation of Agent must accompany this form.

When does the rental registration process take place?
The rental registration needs to take place either before or as soon as possible upon your arrival in the community. The rental registration session should happen once on-site, and you’ll make your appointment via our Concierge team. Virtual options are available if that is more convenient.
All Clubs require appointments to handle rental registrations. Furthermore, many Clubs have designated days and times when rental registration sessions are available to be completed. Be sure to contact your respective Club in advance to schedule your appointment.
Do I need an appointment?

Will I be provided access to MyTrilogyLife?
Yes. You will be provided access to MyTrilogyLife, with active credentials inline with the dates of your rental.
How long will the registration session take?
If you complete the documentation here in advance, the session can take ten minutes or less. If the documentation is incomplete and/or either you or your landlord have not completed the required steps, it can take 30 minutes or more. This is why we encourage everyone to review this site in detail before arriving.
Does my landlord need to do anything?
Yes. The landlord must have completed the Rental Registration portal (here) in advance of your arrival. So long as the landlord has completed this form and has met any requirements put in place by the respective Homeowners Association, he/she has no further involvement in the Renter registration process. If you have any reason to believe that this step have not been completed by your landlord, we encourage you to follow up with them for confirmation immediately.
What amenities are available to me as a renter?
In most communities, amenities are available to Renters so long as they are registered with the HOA and Club and all documentation has been properly completed. There are some subtle nuances in the difference between Owner and Renter access, but for the most part, if you’ve completed the information herein and scheduled your session, and your landlord has completed their responsibilities (including submitting this Owner form), you are well on your way to enjoying the community.
Is this when I get keys or gate transponders?
No. Everything related to your home should be handled with your landlord or your landlord’s representative. This session is exclusively about amenity access.
Am I required to have an account on file?
In some Clubs you are required to provide some kind of payment method in order to have access to the amenities. Others have different policies for protecting the Club/community in the case of damages. In either case, you may pay however you would like when enjoying the Club. It is always a good idea to bring a credit card to the rental registration session, in case that information is required.
The preparation documents say I need a witness, so am I okay to sign and send them in advance?
Yes, you may sign the documents in advance using the online signature function. When we are together, we will initial those signatures together as validation, and our team will sign as well.
What if I have questions about the documents?
If you have questions, that’s no problem. You aren’t required to complete the documents in advance; the process just goes more efficiently that way. You are welcome to wait to complete anything you’d like while you are with the team in person.
What do I do when I checkout?
Different communities may have different policies, but at minimum you should inform the person from the Club with whom you enrolled and return any Club access cards provided. Any responsibilities specific to the home should be handled with your landlord.
Is there a virtual option for registrations?
Absolutely. They can arrange for registration sessions on the phone or via our video-conference technology, Lifesize. Ultimately you’ll need to come by the Club to pick up your cards, but everything else can be handled remotely.
DO I NEED TO COMPLETE THIS IF I DO NOT INTEND TO USE THE AMENITIES?
Owners are required to inform the HOA and, when applicable, the Club, when any Renters are staying in the home. We encourage all Tenants to register with the Club so they can enjoy everything the community has to offer. Without registering, no access to the amenities is provided.
AS A RENTER, MAY I HOST GUESTS AT THE AMENITIES?
Renters may host guests so long as they are requested in advance and confirmed by the Resort Club team. Each community has reasonable guest limits established to ensure the peaceful enjoyment of all users, with a priority placed on Members.
